How Valve Vacation transformed their Guest Management with In2event

Join us in taking a closer look at how we helped Valve Corporation, a major player in the worldwide gaming industry, offer their employees a flawless guest experience.  

Valve Corporation is a USA-based company that makes games, Steam, and hardware. Once a year, they send their hardworking employees on the Valve Vacation; a weeklong trip to Hawaii. A smooth registration platform is key to managing a relaxing vacation for these hundreds of people.

That’s where we come in. 

The project

We worked on this project alongside VandePoel Productions and MCW. Together, we made sure Valve employees and their families smoothly arrived at their hotels and surfboards on Maui.

Our task was to develop a platform that would effortlessly facilitate the registration of hundreds of individuals, including both Valve employees and their guests, for the highly anticipated Valve Vacation.

Within a month-long timeframe, each employee was granted the opportunity to select a week for their vacation, accompanied by their partners and/or children, enabling them to choose their preferred hotel and book various activities.

Let's get started

We started with reviewing the previous registration platform and discussing all wishes for the improved version. We listened to the specific feedback of previous editions. After distilling all requirements from these various conversations, we translated them into a highly functional and user-friendly design.

After the initial presentations, which blew the other parties away, we got to work. We started to design and build both the front-end and back-end.

To keep all parties involved, we set up multiple online environments. This enabled everyone to stay informed of the latest developments at any given moment.

Our main focus

There were a few main issues with the previous versions of the registration platform:

  • The website couldn’t handle the large capacity. This stressed people out because they want to book their preferred flights ASAP.
  • The website was not mobile-responsive.
  • The steps were way too elaborate; there were too many questions and options to be user-friendly.

How we tackled those issues

We built a completely new registration portal for the registration of the Valve Vacation. In the portal, attendees could pick their preferred week of vacationing, book their flights, accommodation and extra activities.

The new registration portal improved on speed, performance, aesthetics, and clarity. These action points were a direct result of the feedback on the previous platforms. One of our main focuses was to greatly improve the user experience (UX) and user interface (UI).

To improve the user experience we have made the registration portal fully mobile responsive. Besides that, we enhanced the capacity of the portal, making sure everyone could register whenever they wanted, without the portal being flooded.

Payment partner

Valve Corporation employees are not only given the opportunity to attend the Valve Vacation but also have the privilege of bringing along guests, be it partners, children, or friends. With the seamless integration of the In2event platform, employees can effortlessly include their guests in the registration process.

This entails reserving spots for additional attendees and managing logistics such as flight bookings, activity selections, and hotel accommodations. The In2event platform facilitates all payments for these supplementary arrangements. This ensures an even more hassle-free registration process.

The Companion App

In addition to the registration portal, we developed a Companion App for Valve Vacation attendees. This app serves as a comprehensive tool for attendees to access their itineraries, share memorable moments, and connect with fellow participants through chat features.

All info within the registration platform is automatically linked to the app. This way, attendees always have the latest info at hand.

Collaboration

We are grateful that VandePoel Productions got us on board for this project. We’ve known Michiel for a long time and have collaborated on projects together in the past. We’re delighted that he immediately thought of us when Valve faced this significant challenge.

What's next?

Whilst the Valve employees enjoyed their time off in Maui, we were already getting ready for their 2025 vacation. By continuously improving, we are committed to making their experience with our platform better and better every time.
